Event Planning Timeline
With the help of a Ministry Consultant from CCN, develop your promotional plan. Build your team of volunteers to plan and promote the event, and roll out your plan!
14 Weeks Before Event
• Recruit Volunteer Team Leaders to take responsibility for various tasks
• Publicity
• Ticket Sales
• Lunch/Refreshments
• Technical
• Room Set-up/Clean-up
• Child Care (optional)
12 Weeks Before Event
• Meet with Volunteer Team leaders to brainstorm, strategize, assign tasks
• Develop detailed promotional plan
• Begin promotion in church and community
• Decide how you want to handle registration, tickets
8-10 Weeks Before Event
• Have Team Leaders recruit volunteers for their areas
• Plan food service
• Contact local pastors to get them involved
• Continue promotion
6 Weeks Before Event
• Meet with Task Force to update, evaluate, tweak
• Continue promotion
3 Weeks Before Event
• Make sure satellite equipment is in place and functioning
• Confirm plans for room set-up/clean-up, food service, child care
• Continue promotion
2 Weeks Before Event
• Perform equipment tests (see instructions below in Equipment Test section)
Day Before Event
• Set up the auditorium
• Set up areas for registration, food service
• Put up signs directing attendees to restrooms, child care, etc.
Day of Event
• Make sure you have quality picture and audio via satellite reception before or during the 30-minute countdown period preceding the program
• Make sure everything is in place and ready to go
15 Minutes Before Event
• Make announcement about refreshments, breaks, restroom locations
During Lunch Break
• Introduce pastor and key ministry leaders
After Event
• Clean up
• Thank your volunteers
• Pat yourself on the back, put your feet up, and rest!

When to serve breakfast?
Depending on the event times at your church, we recommend serving breakfast either before or after the simulcast.

Promotional Ideas
• Have your pastor announce the event from the pulpit – do this several times prior to the event.
• Do a “skit” during announcements at Sunday services – Be creative! Present the skit at other churches, at the mall, in the park – Be creative, have fun, spread the word!
• Encourage the members of your church to invite friends to the event.
• Use the Power Point slide on Sunday mornings.
• Hang posters in your church and in your community:
• Christian bookstores
• Schools
• Businesses
• Other churches
• Hang posters or flyers in strategic and high-traffic areas of your your church.
• Make sure your entire church staff is aware of your church hosting this event and encourage them to come on board with the promotion or information-spread of this event.
• Have a ticket table in the church lobby after Sunday services.
• Use the church web site to promote the event.
• Stuff bulletins with inserts and put additional copies on your ticket table.
• Give flyers to your local Christian bookstore for “bag stuffers".
• Make announcements in Youth Groups, College Campus Christian Organizations, Sunday School classes, Bible Study classes, Small Groups, etc.
• Organize a phone campaign to call all the members of your church.
• Send an email to all those on your churches e-address lists.
• Include write-ups in your bulletin and newsletters.
• Contact other churches and get them on board!
• Provide bulletin inserts and posters for other area churches.
• Send a press release to your local newspaper and organizations.
• Publicize the event at local Christian schools.
• If you ticket your event, consider funding scholarships for those who may not be able to purchase tickets.
• Ask local businesses to 'sponsor' your event by contributing to your overhead costs in return for your mention of their business before or after the program.
• The sponsor could also set-up a table at your event to share their information with your guests.

Satellite Information
Satellite Equipment Test Instructions
- If it is not already on, turn-on your receiver.
- Go to the CCN channel. The channel number will vary depending on the receiver model.
You should be able to view the CCN program. If a program is not playing, you should see the moving CCN logo and hear the background music on the CCN channel.
If you are able to see the picture and hear the discussion or music with clarity, you've had a successful test.
- Congratulations!
- Leave your receiver turned-on.
- If you do not have quality video or audio, please call immediately 1-800-321-6781 and ask for technical support. Our technical staff will be standing by to troubleshoot any problems with you.
